Project Coordinator

Position Summary

We are seeking a detail-oriented, proactive Project Coordinator to support project execution, firm leadership, and client satisfaction. This role is integral in streamlining internal operations, facilitating communication between teams, and ensuring that project milestones are met on time and within scope.

Key Responsibilities

Project Coordination

  • Assist in drafting proposals and contracts with principals and coordination leads

  • Track contract status and ensure all project documentation is stored and updated appropriately

  • Coordinate with consultants, clients, and contractors on scheduling, deliverables, and logistics

  • Track project financials

  • Create project invoices

  • Maintain project management systems

  • Monitor procurement and vendor records

  • Organize travel and licensing logistics for project needs

Administrative Support

  • Input and manage project expenses

  • Maintain organized project directories and assist in project close-out documentation

  • Participate in daily check-ins with coordination lead to prioritize tasks and track deliverables

Required Skills & Qualifications

  • 3+ years of relevant experience, ideally in a design, architecture, or project-driven firm

  • Excellent communication, documentation, and organizational skills

  • Ability to manage multiple tasks and shifting priorities

  • Strong proficiency with Microsoft Office Suite and Ajera (or similar project accounting software)

  • Self-motivated and able to work both independently and collaboratively

  • Detail-oriented, efficient, and resourceful

  • Experience working in creative or design-focused environments

  • Familiarity with project milestones, rendering coordination, and archiving systems

  • Enthusiasm for learning and contributing to a dynamic small team
